The policies that cover how we work with you, your data and AI.
Privacy Policy
Last updated October 28, 2026. This policy explains what we collect when you use this site and Elkhorn OS, our operations app, and what we do with it.
Who we are
ElkHorn Solutions, LLC is a Public Relations, communications, consulting, custom AI, visual creative and radio agency based in Fargo, North Dakota, United States. Questions about this policy or your information can go to info@elkhornsolutions.ai.
What we collect
- Information you give us. Name, email, company, budget range, project details and meeting preferences submitted through our inquiry, Medora booking and Scout Session forms.
- AI advisor questions. What you type into Read the Range is sent to our AI provider to generate a response. We do not save it, and you should not enter confidential or personal details.
- Event registrations and photos. Details you give when registering for an event, and photos taken at public events we attend or host.
- Basic technical data. Standard server and security logs such as IP address, browser type and pages requested, and error reports (Sentry) when a page breaks.
- Usage analytics, only if you accept. Pages you view, links and buttons you click, how far you scroll, when you leave, the referring site, and your approximate location and device type. With your consent we may also record how a page is used (mouse movement, clicks and scrolling) to find confusing spots. Text you type into forms, the contact details our forms show back to you, and Read the Range answers are masked in those recordings. If you accepted analytics and then send us a form, we link that browsing history to the contact details you gave us (in PostHog only), so we understand what you were looking for when we follow up.
Why we use it
- To answer your inquiry and schedule meetings you requested.
- To deliver and improve the services you hire us for.
- To keep the site secure and prevent abuse.
- If you accept analytics, to understand which pages are useful and where visitors leave, so we can improve the site.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
Elkhorn OS and connected services
Elkhorn OS (os.elkhornsolutions.ai) is the app our team uses to run client work, and where our clients follow their projects. Its use is covered by the Elkhorn OS License Agreement. A team member can connect it to services ElkHorn uses. Each connection is approved on the provider's own sign-in screen by someone with authority over that account, and only reads or writes what is described here.
- QuickBooks Online (Intuit). Company name and settings, customers, invoices, payments, and profit and loss and balance reports. We use them to show revenue, costs and profit for each client project and the company's financial summary to our team, and to create an invoice in QuickBooks (and the customer record it is for, if that client is new) only after a team member reviews and approves it. We never change or delete other QuickBooks records.
- Ramp. Card transactions, receipts and reimbursements, read only, so each project shows what was spent on it.
- Google Workspace. Team members' calendars, email and Drive files they choose to connect, to file meeting notes, email and documents with the right client.
Data from these services is stored with our database provider in the United States, limited to signed-in ElkHorn team members (clients see only their own project in the portal), and is never sold, shared with advertisers, or used to train AI models. Access tokens are stored encrypted. Some features send the relevant text to an AI provider (Anthropic or Google) to draft summaries or suggestions; those providers process it on our behalf and do not keep it to train their models. Disconnecting a service, from its own settings (for QuickBooks, Apps → Manage apps in QuickBooks Online) or from Elkhorn OS, stops all access at once; email info@elkhornsolutions.ai and we will also delete the data we copied from it.
Cookies and analytics
Some storage is needed for the site to work: your light or dark mode and motion preferences, your cookie choice, and a note of how you found us for the current visit. These are not used for tracking.
Analytics cookies are off until you choose Accept on our cookie banner, and never run on proposal links or the client portal. If you accept, we use:
- PostHog (PostHog, Inc., US servers) for page views, clicks, exits and masked session recordings. Cookie:
ph_*, kept up to one year. - Google Analytics 4 (Google LLC) for traffic and page reports. Cookies:
_gaand_ga_*, kept up to two years. Google Signals and ad personalization are turned off, and we do not link analytics to advertising.
Separately, Cloudflare Web Analytics counts page views without cookies or any identifier, whether or not you accept. These providers process the data on our behalf and may handle it in the United States. Google Analytics deletes event-level data after 14 months (its aggregated reports, which identify no one, can remain). PostHog keeps analytics events for up to one year and session recordings for 30 days, then deletes them.
You can change your choice at any time with Cookie settings at the bottom of every public page; declining after accepting stops analytics right away and deletes the analytics cookies on this site. If your browser sends a Global Privacy Control signal, we treat it as a decline and load no analytics, even if you accepted before. We do not sell your personal information or share it for cross-context behavioral advertising.
Where your information lives
Form submissions are stored with our hosting and database provider on servers in the United States, protected by access controls that limit records to authorized ElkHorn team members. Maps on the site are served by OpenStreetMap, and embedded video may be served by YouTube; those providers see your IP address when their content loads.
Security
We use reasonable safeguards to protect what you send us, but no website or transfer over the internet is completely secure. If a breach affects your information, we will notify you as required by law.
How long we keep it
We keep inquiry and booking records for as long as needed to serve the relationship and meet legal or accounting obligations, then delete them. Ask us and we will delete yours sooner.
Your choices
You may ask us to access, correct, export or delete the personal information we hold about you or object to a particular use. If you previously subscribed to Radio updates, you may still ask us to delete your subscription information. Email info@elkhornsolutions.ai and we will respond within 30 days. Depending on where you live, you may have additional rights under laws such as the GDPR or state privacy laws; we honor those requests without charging you or reducing your service.
Children
This site is meant for business use by adults. Our forms require you to confirm you are 18 or older, and we do not knowingly collect information from anyone under 18. If you believe a minor has sent us information, email us and we will delete it.
Changes
If we update this policy we will change the date at the top of this page. Continued use of the site after an update means you accept the revised policy.

Terms of Use
Last updated October 6, 2026. By using this site you agree to what follows.
Using this site
You may browse this site and use its forms for legitimate business purposes. Do not attempt to access accounts or data that are not yours, probe or disrupt the site, scrape it at a scale that degrades service, or submit false, unlawful or abusive content.
Our content
The ElkHorn Solutions name, logo, wordmark, written content, imagery, film and design of this site are owned by ElkHorn Solutions, LLC and protected by copyright and trademark law. You may quote or share short excerpts with attribution and a link. Any other reproduction, republication or commercial use requires our written permission.
Permissions and copyright concerns
We aim to publish names, logos, photographs, video and other third-party material with appropriate permission or another lawful basis. If you believe material on this site uses your work, name, likeness or trademark without authorization, email info@elkhornsolutions.ai. Identify the material, provide the page address, explain your rights or authority, and state the correction or removal you are requesting. We will review good-faith concerns promptly.
A copyright notice under the Digital Millennium Copyright Act should also include your contact information, identification of the copyrighted work, the location of the material at issue, a good-faith statement that the disputed use is not authorized, a statement under penalty of perjury that the notice is accurate and you are authorized to act, and your physical or electronic signature. Send the complete notice to info@elkhornsolutions.ai. We may remove or restrict material while reviewing a notice and may forward the notice to the person who supplied the material.
Anything you send us
You keep ownership of the details you send through our forms. You give us permission to use them to respond to you and to provide services. Please do not send confidential or regulated information through a web form; email us and we will arrange a secure route.
Bookings and holds
A submitted Scout Session or Medora booking is a request, not a confirmed appointment, until we confirm it. We may reschedule or decline a request, and we ask that you tell us as early as possible if you cannot make a time you reserved.
No professional guarantee
Field notes and other content on this site are for information only. They are not legal, financial or professional advice, and results described for one client do not promise the same for another. Work we perform for clients is governed by a separate written agreement, which controls if it conflicts with these terms.
AI tools on this site
Read the Range and similar tools produce automated, AI-generated responses. They may be incomplete or wrong, are for general information only, and are not legal, financial, employment, safety or other professional advice. Review any output with a qualified person before relying on it. A range read is preliminary and cannot account for the full context of your organization. A Scout Session is needed for an informed conversation and a more accurate, tailored plan. Using the tool or attending a Scout Session does not create a client relationship; that begins only with a signed written agreement.
No client relationship
Browsing the site, sending a form or reading our content does not make you a client. ElkHorn Solutions, LLC is not a law firm and does not provide legal advice. A client relationship begins only when both sides sign a written agreement.
Names, events and endorsements
Names, titles and logos of officials, agencies, clients, events and other organizations belong to their owners and appear for identification only. Their appearance, and any past role of a founder, does not mean those parties endorse us. Event details come from hosts and may change.
Availability and third parties
The site is provided as is. We do not guarantee uninterrupted or error-free service, and to the extent permitted by law we are not liable for indirect or consequential losses arising from your use of it, and our total liability for any claim about the site is limited to one hundred US dollars. You agree to cover claims caused by content you submit or by your misuse of the site. Links, embedded videos and maps from other sites are offered for convenience; we do not control their content or privacy practices.
Governing law
These terms are governed by the laws of the State of North Dakota, United States, without regard to conflict-of-law rules. Disputes belong to the state or federal courts located in Cass County, North Dakota.
Changes to these terms
We may update these terms. The date at the top shows the latest version. If any part is found unenforceable, the rest still applies.

Elkhorn OS End-User License Agreement
Last updated October 2026. This agreement covers Elkhorn OS, the web app at os.elkhornsolutions.ai. By signing in or connecting an account to it, you agree to what follows.
What Elkhorn OS is
Elkhorn OS is ElkHorn Solutions' own operations software. Our team uses it to run client work: projects, meetings, email, calendars, documents, spending and invoicing. Our clients use its portal to follow their projects with us. It is not sold or offered to the public. ElkHorn Solutions ("we", "us") provides it; "you" means the team member or client who signs in.
Your license
While you are an ElkHorn team member or a client with portal access, we grant you a limited, non-exclusive, non-transferable, revocable license to use Elkhorn OS for work with ElkHorn Solutions. The license ends when your access ends.
You agree not to:
- share your sign-in or let anyone else use your account;
- copy, resell, sublicense or reverse engineer the software;
- try to reach data or parts of the app you have not been given access to;
- use it to break the law or anyone else's rights.
Connected services
Elkhorn OS can connect to services you or ElkHorn already use, such as Google Workspace, Ramp and QuickBooks Online. A connection is made only by someone with authority over that account, who approves it on the provider's own sign-in screen, and it can be disconnected at any time from the provider's settings or from Elkhorn OS.
When QuickBooks Online is connected, Elkhorn OS reads company, customer, invoice, payment and report data to show revenue and profit by project, and creates invoices (with the customer record, for a new client) only after a team member reviews and approves them. Each service's own terms still apply to your use of it. Intuit and QuickBooks are trademarks of Intuit Inc.; Elkhorn OS is not made or endorsed by Intuit.
Your data
Data you put into Elkhorn OS or bring in through a connection stays yours or your organization's. We use it only to run Elkhorn OS and deliver our work for you, as set out in our Privacy Policy. We do not sell it.
Ownership
Elkhorn OS, its design and its code belong to ElkHorn Solutions. This license gives you the right to use it, not ownership of it.
No warranty
Elkhorn OS is provided "as is" and "as available." We work to keep it accurate, secure and running, but we do not promise it will be uninterrupted or error-free. Figures it shows from connected services, such as costs, revenue and profit, are there to help you work and do not replace your accounting records or professional advice.
Limitation of liability
To the extent permitted by law, ElkHorn Solutions is not liable for indirect, incidental, special or consequential losses, or lost profits or data, arising from your use of Elkhorn OS. Our total liability for any claim about it is limited to the greater of the amount you paid us for access to Elkhorn OS in the twelve months before the claim, or one hundred US dollars.
Ending access
We may suspend or end your access at any time, for example when a project or role ends. You may stop using Elkhorn OS and disconnect any service at any time. The sections on ownership, no warranty, limitation of liability and governing law continue after access ends.
Governing law
This agreement is governed by the laws of the State of North Dakota, United States. Any dispute will be handled in the state or federal courts located in Cass County, North Dakota.
Changes and contact
If we change this agreement we will update the date at the top of this page; continuing to use Elkhorn OS after a change means you accept it. Questions go to info@elkhornsolutions.ai.

Our standard
How we use AI
We build custom AI for clients, so you deserve to know exactly how we use it ourselves. These are the rules the herd works by, on your work and ours.
AI speeds up the work, it doesn't do the work
We use AI to speed up research, drafting and automation, so more of your budget goes to thinking and less to typing. It is a tool in the herd's kit, not a substitute for judgment.
Named providers, no training on your data
Our AI providers include Anthropic and Google, as named in our Privacy Policy. Client data is not used to train models, and our providers process it on our behalf under those terms.
A person reviews every deliverable
Nothing goes out the door on AI's word alone. A person on the team reviews every deliverable before it reaches you, and your name never goes on work we wouldn't put our own name on.
AI-made media is labeled
When AI-generated or AI-altered images, video or audio are used in client work, we label them as such. You always know what came from a camera and what came from a model.
Read the Range is automated, and it says so
Read the Range, the free advisor on this site, is automated. It gives a general read and a starting point, not professional advice. A Scout Session is where the real work starts.
Want AI built this way for your team?
New Rack is our custom AI practice: assistants, automation and internal tools built around your documents and workflow, handed over in your name.
Free 45-minute conversation. No pitch deck.
See also our Privacy Policy for how data is handled, including the AI providers we use.
Accessibility
Last updated September 2026. Everyone should be able to read our work and reach us.
Our standard
We are working toward the Web Content Accessibility Guidelines (WCAG) 2.1 Level AA. Accessibility is an ongoing part of how we review and improve this site.
What we do
- Semantic headings, landmarks and labelled forms that work with screen readers.
- Keyboard access to every link, button, menu and form control, with visible focus.
- A monochrome system that we continue to test and improve for readable contrast.
- Text alternatives for images, and decorative graphics hidden from assistive tech.
- A visible motion control plus support for your device's reduced-motion preference.
- Maps and event details also presented as text and lists, not only as a graphic.
Known limits
Some third-party content we embed, maps, ticketing pages and video players, is outside our control and may not fully meet AA. Some older pages may still have contrast or interaction issues. We fix these as we find them.
Tell us about a barrier
If any part of this site blocks you, email info@elkhornsolutions.ai with the page and what happened. We aim to reply within five business days and will give you the information another way while we fix the page.
